Meet Directors

Check the schedule to see when your team hosts the meet.  One week in advance of the meet that you host please: 

Arrange a head timer and card runner for the duration of the meet.  Please have two card runners available for the 50-yard freestyle as it is difficult for one runner to keep up with the heats during the race. 

Your volunteers need to be in place during the entire meet.  Positions can be rotated with substitutes, but make sure the substitute is in place before making the change.  Timers must be in their assigned lanes.  Each school needs to make sure their lane is covered for the duration of the meet.  We run 9 lanes during the dual season with 2 timers in each lane. 

Meet set-up needs to be complete by 4:30 P.M. 

  1. Put out 18 chairs for timers and 4 chairs at the scoring table.  Move 6 small white tables to the coaching area with 2 chairs at each table.
  2. Put pencils and event sheets on clipboards, 9 for timers, 8 for officials.
  3. Set out watches with clipboards, 1 per lane and 2 for the head timer
  4. Place lap counter bells under timer chair, 1 per lane.
  5. Place bin of lap counters at the southwest end of the pool.
  6. Make sure all timers are in their lanes and ready for instruction by 4:45 P.M., and each timer understands that each timer must press both one timing system back-up button and one stop watch simultaneously.
  7. Following the meet, put the clipboards, pencils, lap counters, bells, and watches back in their containers.  Stack the chairs and white tables under the scoreboard.  Send swimmers with trash bags to collect trash on deck and in bleachers.  If you send trash bags through the bleachers during the meet it helps with the trash collection.
